Record a Visit

Create a visit for a patient, add the patient to the patient queue, and initiate the billing process for all types of visits. Alternatively for previous consults, create a visit and bill the patient.

Visit types include visits bulk billed to Medicare, DVA, private, pre-employment, and workers compensation.

A billing type may be:
  • Selected by you when the patient's appointment was first scheduled.
  • Based on a patient's demographics. For example, if a patient has a Medicare number recorded, Medicare is selected. For more information about recording a Medicare number, see Create New Patient Records.
  • Set by the clinician during the consult. For more information, see Add Billing Items for a Consult.
Tip: You can change the billing type at any time, provided you have not already issued the invoice.

Getting started with billing

  • To record a visit, click VisitVisit. For more information, see Create a Visit.
  • To initiate the billing process, in the VisitVisit panel, click Process Billing.

    In the panel, update the required details such as Billing type, incentive codes, Service fee type, Service text and so on. For more information, see Initiate Billing.

  • To view the transaction history for a patient's claims, click Transaction HistoryTransaction History.
  • To transmit the patient's claims from Helix to Services Australia, select Claiming, Banking, and payments menuClaiming, Banking, and Payments > Patient Claims. For more information about claiming, see Patient Claims:
    • Unsuccessful patient's claims are displayed with an error message in the Pending claim tab. For more information, see Unsuccessful Patient Claims.
    • Batch a group of the patient's claims and send the batch from Helix to Services Australia. For more information, see Batch a Group of Items.
    • Edit a visit from the Batch tab if required. For more information, see Edit a Visit from the Batch.
    • In the Batch tab, you can do the following actions:
      • Retransmit the transmitted claims to Services Australia,
      • View the Services Australia response for exceptions,
      • View the approved claims by Services Australia and so on.
